The Role & Responsibilities
Reporting to the Director Innovation (Executive Board Member EIT Innoenergy), the Executive Assistant will use appropriate tools and procedures to ensure:
Ensure effective use of executive time supporting him/her considering the priorities of the business. Preparation of documents, reports and presentations
National and multinational travel management
Translation and correction of documents, including all the logistics and producing written itineraries
Call screening and visitor care
Organization of (internal & external) meetings
Support for events and workshops
Purchase management, invoice management central INDU
Office management, to ensure a good working environment for all the team.
You are a team-player with networking and intercultural skills who values building and maintaining relations
You work independently and you have the ability to build trust with different stakeholders
Ability to communicate clearly and confidently with internal and external stakeholders at all levels of seniority
Eager to learn new skills
You are positive, curious to learn and open minded
Required Skills and Experience
Preferably Bachelor administration education or similar
At least 3-5 years’ experience gained of working in an Executive Assistant environment proficiency in systems like ERP and MS Excel Ability to work as part of a team and to effectively plan, prioritise workload making the best use of time and resources.
Previous experience in mail chip and other design software packages will be a plus.
Perfect fluency in English is a requirement
Excellent written and oral communication skills
Ability to interact as solutions provider to counterparts among different departments
Good project management and coordination skills
Excellent written and oral communication skills in English and Spanish
This position is based in EIT InnoEnergy’s office in Spain, Madrid (Zona Plaza Castilla).
A valid work permit is required.
